The name chosen at sign-up, the sign-in page your employees will see and the SharePoint sharing rules deserve ten minutes of thought before you click \u201cNext.\u201d<\/p>\n\n<h2>1. The name before .onmicrosoft.com: the most permanent choice<\/h2>\n<p>When you create the tenant, Microsoft asks you for a name. It becomes your starting domain and, above all, the address of your SharePoint and OneDrive sites:<\/p>\n<div class=\"alt-url\"><span class=\"lbl\">Initial tenant domain<\/span>user@<span class=\"hl\">chosenname<\/span>.onmicrosoft.com<br><span class=\"lbl\">Address of your files, visible in every shared link<\/span>https:\/\/<span class=\"hl\">chosenname<\/span>.sharepoint.com\/sites\/Accounting<br>https:\/\/<span class=\"hl\">chosenname<\/span>-my.sharepoint.com\/personal\/\u2026<\/div>\n<p><strong>This initial name can\u2019t be changed.<\/strong> Microsoft does offer a SharePoint domain rename, but it\u2019s a heavy operation: every site is renamed one by one, some Power Automate flows and Teams tabs must be recreated, deleted sites can no longer be restored, and it\u2019s limited to twice in the life of the tenant. Better to choose well from the start.<\/p>\n<div class=\"alt-grid\">\n<div class=\"alt-card good\"><p><strong>Good choices<\/strong><\/p><ul><li><code>notairesboisclair<\/code> (fictional)<\/li><li><code>toituresabc<\/code> (fictional)<\/li><li>The company name, short and without hyphens<\/li><\/ul><\/div>\n<div class=\"alt-card bad\"><p><strong>Avoid<\/strong><\/p><ul><li><code>jean.tremblay2019<\/code> (a person)<\/li><li><code>testm365<\/code>, <code>clienttrial<\/code><\/li><li><code>ctr123inc<\/code> (unreadable for your clients)<\/li><\/ul><\/div>\n<\/div>\n<ul>\n<li>Think ahead: a generic name ages better than one tied to a partner or a product.<\/li>\n<li>Never use the real name for a trial tenant: it would be taken and hard to get back.<\/li>\n<li>In a merger or acquisition, plan for the name question before migrating.<\/li>\n<\/ul>\n<div class=\"alt-callout\"><p><strong>New:<\/strong> since October 2025, Microsoft limits sending from an .onmicrosoft.com address to 100 external recipients per 24-hour period for the whole organization, and the cap is gradually extending to all tenants through June 2026. Add your own domain (yourcompany.com) on day one and make it the primary address of every mailbox.<\/p><\/div>\n\n<h3>Your custom domain, from the start<\/h3>\n<ul>\n<li>Add it in the Microsoft 365 admin center (Settings &gt; Domains) and create the requested DNS records.<\/li>\n<li>Set up SPF, DKIM and DMARC so your email reaches its destination and nobody can impersonate you.<\/li>\n<li>Create accounts with the company domain address from the start, to avoid an address migration later.<\/li>\n<\/ul>\n\n<h2>2. Sign-in page branding<\/h2>\n<p>Your logo and a background image on the Microsoft sign-in page give a professional environment and help employees recognize <em>their<\/em> page. Need help? 1 833 444-1041.\u201d It\u2019s public: no sensitive information.<\/li>\n<li><strong>Language:<\/strong> add a French version (\u201cAdd browser language\u201d).<\/li>\n<li>Your image only appears once the email address is entered, and personal Microsoft accounts don\u2019t see it.<\/li>\n<li>CSS customization is being retired in 2026: stick to images and text.<\/li>\n<\/ul>\n\n<h2>3. SharePoint and OneDrive sharing rules<\/h2>\n<p>By default, Microsoft 365 is set up to make sharing easy. For an SMB that handles confidential data (client files, personal information covered by Quebec\u2019s Law 25), a few settings need tightening before employees start sharing.<\/p>\n<p><strong>Where:<\/strong> SharePoint admin center &gt; Policies &gt; Sharing.<\/p>\n<div class=\"alt-table-wrap\"><table>\n<thead><tr><th>External sharing level<\/th><th>What it allows<\/th><th>Our recommendation<\/th><\/tr><\/thead>\n<tbody>\n<tr><td>Anyone<\/td><td>Anonymous links, no sign-in; no way to know who opens the file<\/td><td>Avoid, or use with short expiry and view-only<\/td><\/tr>\n<tr><td><strong>New and existing guests<\/strong><\/td><td>External users must sign in or enter a code sent by email<\/td><td><strong>The right balance for most SMBs<\/strong><\/td><\/tr>\n<tr><td>Existing guests<\/td><td>Only guests already added<\/td><td>For sensitive sites<\/td><\/tr>\n<tr><td>Only people in your organization<\/td><td>No external sharing<\/td><td>For management, HR, payroll<\/td><\/tr>\n<\/tbody><\/table><\/div>\n<h3>Settings to adjust on day one<\/h3>\n<ul>\n<li><strong>Default link type: \u201cSpecific people.\u201d<\/strong> Employees choose who they share with, rather than sending a link that works for anyone.<\/li>\n<li><strong>If \u201cAnyone\u201d links remain allowed:<\/strong> require an expiry (for example 7 to 30 days) and limit them to view-only.<\/li>\n<li><strong>Guest access expiration:<\/strong> external access is removed automatically after the number of days you choose (for example 90).<\/li>\n<li><strong>OneDrive at the same level or more restrictive<\/strong> than SharePoint: that\u2019s where employees most often share without thinking.<\/li>\n<li><strong>Allowed or blocked domains:<\/strong> limit sharing to your partners\u2019 domains if your situation allows it.<\/li>\n<li><strong>Sensitive sites more locked down<\/strong> than the global level: each site can be set more restrictively.<\/li>\n<li><strong>Entra ID invitation settings:<\/strong> decide who is allowed to invite external users. They apply on top of the SharePoint settings.<\/li>\n<\/ul>\n<div class=\"alt-callout teal\"><p><strong>Caution:<\/strong> if you turn off external sharing and turn it back on later, former guests regain their access. To remove access for good, delete the guests involved or lock down the sites first.<\/p><\/div>\n\n<h2>The starter checklist<\/h2>\n<div class=\"alt-check\"><ul>\n<li>Short, representative, long-lasting tenant name<\/li>\n<li>Company domain added and set as the primary address<\/li>\n<li>SPF, DKIM and DMARC configured<\/li>\n<li>Phishing-resistant MFA for everyone, separate admin
